Personal Rules let you customize how the GovEagle AI Agent works for you. Think of them as standing instructions that apply to every interaction, so you don't have to repeat the same preferences each time you use GovEagle.
Before You Start
GovEagle's AI is already fine-tuned for proposal writing and business development work. Most users won't need to add Personal Rules right away. Consider adding rules only if you find the default AI behavior isn't meeting your specific needs. For example, if you consistently want a different output format for outlines or need to account for unique aspects of your role.
What Are Personal Rules?
Personal Rules are custom instructions you write that shape the AI's behavior, tone, and output style. When you add rules, they become part of the AI's core instructions for all your future sessions whether you're using the web app, Word, PowerPoint, or Excel add-ins.
Common uses include:
Adjusting the default writing style or tone for your preferences
Specifying formatting preferences for your personal workflow
Providing context about your role that affects how you want responses framed
Establishing default behaviors for certain tasks
Organization Rules & Writing Style Guide
Some customizations make more sense at the organization level rather than as Personal Rules. If you're an admin, you can set Organization Rules and a Writing Style Guide in Settings > AI Preferences. These apply to all users across your organization.
Consider using Organization Rules for:
Company-specific terminology or acronyms
Standard formatting conventions (e.g., outline structures, citation formats)
Compliance-related instructions that apply to all proposals
Naming conventions or style preferences that should be consistent across your team
Personal Rules are best for individual preferences that may differ from person to person within your organization.

Writing Effective Rules
Rules work best when they're clear, specific, and actionable. Write them as direct instructions.
Examples of Effective Rules
Adjusting tone:
Use a conversational but professional tone. Avoid overly formal language.
Formatting preferences:
When generating lists, use bullet points rather than numbered lists unless order matters.
Role-specific framing:
I'm a Capture Manager. When discussing proposals, focus on win themes, competitive positioning, and executive summaries rather than granular technical writing.
Default behaviors:
When I ask you to review a section, always check for compliance with the stated RFP requirements first, then provide suggestions for strengthening the content.
Output preferences:
Keep initial responses concise. I'll ask for more detail if needed.
Tips for Better Rules
Be specific. "Write better" is vague. "Use active voice and keep sentences under 25 words" is actionable.
Prioritize. If you have many preferences, list the most important ones first.
Test and refine. Add a rule, see how it affects outputs, and adjust as needed.
Avoid conflicts. Don't write rules that contradict each other or your organization's rules.
Managing Your Rules
You can edit or remove your Personal Rules at any time by returning to My Account. Changes apply to new conversations immediately.
If you find the AI isn't following a rule consistently, try rephrasing it more directly or breaking complex instructions into simpler statements.
Personal Rules vs. Prompt Instructions
Personal Rules apply globally across all your interactions. If you need the AI to behave differently for a specific task, you can still include one-time instructions directly in your prompt. These will work alongside your Personal Rules for that particular request.
